The challenge

Our client had 3 weeks to complete a Data Subject Access Request (DSAR) review and production exercise. The client’s data collection searches to identify relevant documents yielded 53GBs of data which equated to over 250,000 documents potentially requiring review. Given the short timeframe, was there a better way to ensure the accuracy of the exercise whilst also ensuring proportionality?

Our solution

We used Simmons & Simmons DSAR Toolkit to reduce the number of documents requiring review by 94% within 48 hours of receiving the data. By applying our custom-built Excel extraction tool to the dataset, we were able to extract only the relevant rows and columns containing the data subject’s personal information quickly and efficiently. This approach avoided a time consuming and costly manual redaction exercise.

The outcome

Applying the right tools allowed us to reduce the client’s dataset by 94%, ensuring disclosure well within the client’s timeline and delivering client savings of over £75,000 in costs.
